Budget Monitoring Essentials
This workshop is available as an English eWorkshop.
In this highly participatory online workshop, we will introduce you to the key skills you need to prepare and analyze project budget monitoring and forecast reports, including donor financial reports.
During the workshop, our expert facilitators will share with you many useful tools and techniques so that you can return to your organization able to create the reports you need for both internal use and donor reporting. You’ll have the opportunity to put the learning into practice with a sector-relevant case study, with a mixture of individual assignments and discussions. At the end of the 5 weeks, we will consolidate and share a useful summary of all recommended budget monitoring tools and techniques for you to use in the future.
What will you learn?
By the end of this workshop, learners will be able to:
- Design and prepare a budget monitoring report to compare a project budget with actual performance
- Calculate variance and grant utilization percentages to assess project progress compared to plan
- Analyze the cause of the budget variances using a 3-criteria model
- Create a Variance Analysis Table to identify significant variances and follow up actions
- Create a project budget forecast report based on latest activity plans and information
- Feel confident to use budget monitoring reports in project and grant management.
Who should attend?
This workshop is designed for:
- Anyone in the NGO sector with responsibility for implementing and managing project, program or organization wide budgets; reporting to donors and other stakeholders on project performance; reviewing implementing partners’ project performance.

Working together with a small cohort of peers from around the world in a social network style environment, you will discover relevant tools and techniques through engaging videos, readings and assignments. You will have a dedicated, expert facilitator to guide you on your learning journey, provide feedback, and always ready to answer your specific questions to further enhance your learning.
How does an eWorkshop work?
The eWorkshop is open for a set number of weeks, and you must log-in each week to complete assignments and reach weekly deadlines. Once online, you’ll find our eWorkshop platform easy to navigate, with clear guides and instructions.
You’ll need to earn points for completing various tasks (such as watching videos, uploading assignments, group tasks, and interacting with others). The more tasks you complete, the more points you’ll earn. You’ll need to reach a minimum target points score, submit assignments and contribute to discussions in order to pass the workshop.
We estimate this workshop requires 5-7 hours per week, depending on your pace of learning, and previous experience.
